This Privacy Statement explains in general terms how SPAA protects the privacy of your personal information under the National Privacy Principles. It will apply to any personal information you provide to us:
- when purchasing a ticket or making a booking with us;
- when paying membership fees;
- via spaa.org.au spaa.org.au/conference, spaa.org.au/fringe, or other online sites operated by SPAA and its contractors; and
- under any other agreement or arrangement.
This Privacy Statement will also apply to any information about you that is provided to us by a third party.
This Privacy Statement does not apply to employee records.
2. WHAT PERSONAL INFORMATION IS COLLECTED?
The Screen Producers Association of Australia will request personal information from you on certain occasions. The information requested will vary depending on the circumstances. Information requested may include:
a) Contact Details
Home or Business Address
b) Financial Details
Credit card number, expiry date and CSV code
c) Business Details
Production details including title, format and budget
d) General Preferences
3. STATISTICAL INFORMATION
SPAA uses Google Analytics tools to help analyse how users use the site. These tools use 'cookies', which are text files placed on your computer, to collect standard internet log information and visitor behaviour information in an anonymous form. The information generated by the cookie about your use of the website (including your IP address) is transmitted to Google and other vendors. This information is then used to evaluate visitors use of the website and to compile statistical reports on website activity for www.spaa.org.au
We will never (and will not allow any third party) use the statistical analytics tool to track or to collect any personally identifiable information of visitors to our site. The Web Analytics vendors do not associate your IP address with any other data held by them. Neither we nor Google Analytics will link, or seek to link, an IP address with the identity of a computer user. We will not associate any data gathered from this site with any personally identifying information from any source, unless you explicitly submit that information via a fill-in form on our website.
4. HOW IS INFORMATION COLLECTED?
SPAA may collect personal information from you when you deal with us over the telephone, send us correspondence (whether by letter, fax or email), visit our websites or when you have contact with us in person.
5. HOW IS INFORMATION USED?
SPAA may use your personal information for the following purposes:
To contact you via email, post, telephone or fax
To process your membership, levy, event registration and other transactions;
To facilitate your participation in SPAA activities
To conduct marketing activities and
To conduct industry research;
6. HOW IS INFORMATION STORED?
Financial information is stored via the payment gateway Paypal.
This information is completely secure and cannot be accessed by any third parties. SPAA does not retain any record of credit card information provided to us.
Membership and contact information is stored on the SPAA website www.spaa.org.au, which is hosted by Affiniscape Inc. This information is password protected and only accessible by SPAA staff.
Our contractors who collect information from you agree to protect that information when entering into partnership with SPAA.
7. SPAA MEMBERSHIP
Additional information is collected when you join SPAA as a member. This includes information such as your name and business address, email address, telephone numbers, fax number, credit card details as well as any special interests and preferences.
SPAA also keeps a record of members’ production history and details - this information may include but is not limited to production title, format and budget. If this information is published it will only ever be published in aggregate form. In cases where the information may need to be directly or indirectly attributed to a particular member, SPAA will seek consent from the member prior to the information being published or passed on to a third party.
SPAA members can update their profile information at any time logging into the SPAA website or contacting the SPAA Office on 02 9360 8988.
SPAA may at times disclose your personal information to a third party, to whom we contract out certain services. For example, we engaged third party suppliers to:
Provide electronic funds transfer services, credit card account processing and related services;
Provide event management, catering and travel services
Provide training services directly related to your business activity
In these situations SPAA prohibits the third party contractor from using your personal information except for the specific purpose for which we supply it.
Under no circumstances will the SPAA sell or receive payment for licensing or disclosing your personal information.
Notwithstanding the above, SPAA will share information with third parties if:
- We need to share personal information in order to provide the product or service requested;
- We are legally obliged to do so; or,
- We are otherwise required or committed by the Privacy Act 1988.
9. ACCESS AND ALTERATION TO PERSONAL INFORMATION
SPAA facilitates individuals to access their personal information in the following manner:
- The request must be in writing;
- The SPAA will endeavour to respond in writing to requests for access within twenty eight (28) days of the receipt of the request at the offices of the SPAA; and
If a person wishes to alter personal information held by SPAA, they should advise us in writing of the required changes. SPAA will endeavour to make the changes requested within twenty eight (28) days of the receipt of the changes at the offices of the SPAA provided that we are satisfied that the changes are accurate, complete and up to date. SPAA will not confirm the changes are made unless specifically requested to do so.
10. CHANGES TO THIS PRIVACY STATEMENT
The SPAA Privacy Statement may change from time to time due to legal or business requirements. Any changes to this Privacy Statement will be updated on www.spaa.org.au
This statement was late updated in April 2010.
In the event that a person considers that SPAA has breached the policy on privacy, they should provide details of the circumstances in writing to the SPAA. SPAA will endeavour to respond to such a complaint within twenty eight (28) days of its receipt at the offices of the SPAA.
